This article is for event organisers, schools and photographers. If you are looking for photos of yourself or your child, see our articles on finding and buying your event photos instead.
GeoSnapShot is a global media platform for event photography. Sports clubs, schools and event organisers around the world use it to host, share and sell their photos. Registering is free, and you can have your first gallery live the same day.
Would you rather watch than read?
Everything below is also covered in short videos in Video Help — click the ? icon at the top right of your dashboard, or go to geosnapshot.com/help/videos. It is much faster to watch a feature working than to read about it.
You need an account to watch them, and creating one is free — no subscription, no monthly fee, and nothing to pay until you run an event. If you haven't set one up yet, that is the quickest way to see what the platform does.
You choose your photographer
GeoSnapShot is the platform, not the photographer. We don't attend your event or take the pictures — you bring your own photographer.
That means you keep control of who shoots your event, what gets published, and what the photos cost. It also means you are the person your entrants and parents will come to about the event itself, which is worth knowing before you start. There is more on that below.
Inviting your photographer. Open the event from your Events dashboard, go to Invite and Manage Photographers, and enter their email address. They receive an invite with the event details, and once they accept, their status changes to Booked. After the event they upload their photos and mark the upload complete.
You can share the revenue with them. You don't have to keep the whole 70%. You can share the photo sale revenue with the photographers you invite, so they are paid out of sales rather than by you up front. It is your call, and it is a common way to bring a photographer on board at no cost to the event.
Set up your first event
Register at geosnapshot.com. It is free — no monthly fee, and no charge to upload photos you intend to sell.
Open Video Help from the top right of your dashboard and watch the getting-started videos. They cover every feature below.
Create your event and upload your photos.
Share your gallery link with entrants, attendees or parents, or embed the gallery in your own website.
What GeoSnapShot costs
Two options, and under both, nothing is charged until you run an event.
Sell your photos. You set the price. GeoSnapShot keeps 30% of each sale, so you keep 70%. There is no charge to register and no charge to upload photos you intend to sell. Request a payout at any time and you will be paid within 5 business days.
Share photos without selling them. $30 per event, plus $0.04 for each photo or video you upload.
Schools usually take an annual licence instead, which covers deeper integration, media management and — if the school wants it — parent sharing. Email [email protected] for a school quote.
Using sponsorship to cover your photography costs
If you are paying a photographer to cover your event, many organisers fund that through sponsorship rather than out of their own budget. GeoSnapShot gives the sponsor something visible in return, applied automatically across your gallery:
Sponsor logo overlays on your photos
Custom watermarks
Custom event banners on the gallery itself
You can also show the sponsor what they got for it. Your event stats include gallery views and photo downloads, so the exposure is measurable rather than a guess. There are videos on logo overlays and watermarks in Video Help.
What you get
There is a short video for most of these in Video Help.
Face recognition. People in your photos are tagged automatically as you upload.
Selfie search. Buyers find themselves by taking a selfie, instead of scrolling through thousands of images.
Bib number search. Built for running, cycling and triathlon events.
Photo packs, bundles and discounts. Set these up in the Offers section of your gallery. They appear at the top of the gallery for buyers, and they lift the average order.
Pre-paid packs at registration. Sell a photo package as part of your event registration, then send us the list of who bought one so they can claim their photos.
Embedded galleries. Drop your gallery straight into your own website.
Print fulfilment. Connect a print provider so buyers can order physical prints.
What your entrants will ask you
Because you run the event and we run the platform, some questions can only be answered by you. Our Help Centre sends customers to you for these, so it is worth being ready:
The gallery password, if you have made your gallery private. We don't hold it and can't give it out.
Registration details for pre-paid photo packs. If someone's name or email doesn't match the list you sent us, only you can correct it.
What was photographed. If someone can't find themselves, they will ask you what coverage you arranged.
Everything else — the gallery, downloads, payments made to GeoSnapShot, upload status — comes to us.
One thing that saves everyone time: make sure your entrants can reach you. Add your support details under Organisation Settings → Settings → Event Support Details so they appear on your event page.
Getting paid
Request a payout any time you have a balance, from Reports/Payments on your dashboard. There is no minimum. See our article on photographer payouts for the full detail.
Schools: privacy and safeguarding
School accounts have extra privacy, safety and security controls over who can see and download images. These are covered in Video Help once you register.
If your school needs to review those controls before signing up, email [email protected] and we will walk you through them.
Our article on school and graduation photos is written for parents, so it is a useful one to share with your school community once your gallery is live.
Talk to us before you sign up
You can create a free account and try it at any time — nothing is charged until you run an event, and it opens up the full video library so you can see the platform working rather than reading about it. If you would rather talk it through first, email [email protected].
Still need help?
Already running events with us and something isn't working — uploads, payouts, gallery settings, or a buyer who can't get their photos? Email [email protected] and tell us your event name. Video Help in your dashboard covers most day-to-day questions.
