FAQs for event organisers

Quick answers to the questions event organisers ask most often — pricing, the revenue split, photographers, gallery passwords, photo redaction, embedding your gallery and pre-paid photo packs.

Short answers to the questions we hear most from event organisers. If you are just getting set up, start with Getting started as an event organiser or school.

Who sets the price of the photos?

You do — whoever creates the event sets the prices and any discounts. There is no standard price. What works depends on your audience, so think about who is buying and what the event is.

Because you set them, GeoSnapShot cannot change a price or apply a discount for one of your participants. Those requests come to you.

Where does the money go?

70% of every sale goes to the seller (after tax and transaction fees), and GeoSnapShot keeps 30%.

By default the 70% goes to the photographer who took the photo. If you would rather your organisation received it — to fundraise or to offset what you are paying your photographers — email [email protected] before your event and we will set your account up that way. You can also share the 70% with your photographers on whatever split you agree with them.

Can I use my own photographers?

Yes — volunteers, club members or photographers you are paying directly. To invite them:

  1. Go to Events in your dashboard and open your event.

  2. Click Invite and Manage Photographers.

  3. Enter their email address and send the invite.

They get an email and a notification in their GeoSnapShot account. Once they accept, their status changes from Invited to Booked, and after the event they can upload their photos to your gallery.

Can I give the photos away for free instead of selling them?

Yes. Free sharing costs $30 per event plus $0.04 per photo or video uploaded, and participants download at no charge.

Can I password-protect the gallery?

Yes. You can set a password when you create the event, or add one later from the Manage Event page.

The password is yours — GeoSnapShot support cannot give it out, not even to someone who says they are a participant. Send it to your participants with the gallery link, and expect anyone who loses it to come to you.

Can I remove photos from my gallery?

Yes — you can delete photos from the Event Albums page in your account.

Can I stop particular people appearing in the photos?

Yes. Photo redaction uses AI to find and remove every photo a particular person appears in, so you keep control of who is visible in your gallery.

On a standard account, you upload photos of the individuals who must not be shown, and GeoSnapShot redacts any photo they appear in.

On a school account it can go further. GeoSnapShot links to your school information system and applies the media permissions you already hold for each parent, so consent is enforced automatically rather than managed by hand.

Can I put our logo or a sponsor's logo on the photos?

Yes. You can add a logo overlay, a custom watermark and an event banner to your gallery, which is how a lot of organisers deliver value to a sponsor. Your dashboard shows views and downloads, so you can report back on what the sponsor's logo was seen on.

Can I offer bundles and discounts?

Yes — percentage discounts, multi-tier discounts, and selfie bundles that let someone buy every photo of themselves for a set price. See Pricing your photos, discounts and your revenue split for how to set them up.

How do I share my gallery with participants?

The best option is to embed the gallery in your own website or app, so participants find their photos where they already are rather than being sent somewhere unfamiliar. Copy the embed code from your Gallery page and paste it into your site — it works much like embedding a video. Don't edit the code, or it may not display properly.

You can also share the gallery quick link from your account: put it in an email, post it on social media, or turn it into a QR code for signage and event materials.

People need reminding more than once. Tell participants before the event that photos are coming, then tell them again the moment the gallery is live.

We sell a photo pack at registration — what happens if it doesn't work?

Pre-paid packs are unlocked from the list of people who bought one through your registration system. GeoSnapShot has no access to that list, so we cannot check it, look someone up on it, or correct it.

If a participant says they pre-paid but is being asked to pay again, it is something you resolve at your end. Anyone who contacts us about it will be sent back to you.

Who owns the copyright?

The photographer keeps the copyright to their photos. Someone who buys a photo gets it for personal use. If you or a participant want to use a photo for something else — advertising, print, media — ask the photographer who took it.

Which questions will come to you rather than to us?

Anything only you can answer:

  • The gallery password.

  • What was and wasn't photographed at your event.

  • Prices, discounts and pre-paid packs.

  • A participant's registration details.

Make sure your participants have a way to reach you, and we will route these to you when they land with us.
